Video Instructions – Oral and Poster Presentations

Important Dates

  • January 25th: Final Content Submission Portal Opens 
  • February 9th: Final Content Due (this is a hard deadline and NO extensions will be provided) 

In view of the COVID-19 pandemic, DVCon U.S. 2021 has been moved to a fully virtual conference. This conference will consist of both pre-recorded and live presentations. Please read through the full instructions below for details on your specific presentation type.

Live-Session Chair Introduces 1st Speaker (2 minutes)

Live-Session Chair Introduces 2nd Speaker (2 minutes)

  • Each Poster Presentation will have its own Breakout Room with the Zoom Session
  • The 10 minutes video should be played at least 3 times during the session (recommend every 30 minutes with live Q&A after each playback)
  • The speaker is in charge of playing their own video and facilitating Q&A

The pre-recorded video will be posted within your presentation time slot on the DVCon U.S. 2021 on-demand virtual platform. The live session will be recorded and posted to the platform 24 hours after the conclusion of the session. 

You are required to submit an mp4 video of your presentation, showing your PowerPoint slides with voice-over narration (we recommend using Zoom, the Powerpoint record feature, or your favorite recording plugin or program). Do not include or overlay a video of yourself as part of the presentation. During the live Q&A, you will be required to have a live video feed of yourself, which will be shown as part of the live session.

Content is subject to review by the DVCon U.S. 2021 Steering Committee. All content submitted on January 8th will be reviewed. Feedback will be provided by January 15th. This feedback must be applied to the final content submitted on February 9th. Please note that extensions will NOT be provided. 

Guidelines for Preparing your Video:

Duration:

  • Oral: 25 minutes
  • Poster: 10 minutes

File size: 250MB max
Video file format: MP4
PowerPoint file format: PDF  
Poster file format: PDF 
Dimensions: Minimum height of 720 pixels, aspect ratio: 16:9

Please note the final specifications will be checked at the time of submission and files not compliant may not be uploaded. Please be sure the video includes the title of the paper, the authors, and a mention to DVCon U.S. 2021. ------ Uploading your video February 9, 2021.

Uploading your Draft Content (Deadline: January 8, 2021)

  1. A Submission Webform URL will be email directly to the speaker on December 28th. 
  2. Confirm Paper, Presentation, and Speaker details 
  3. Upload your Presentation Data
    1. Upload PDF of your presentation slides or poster  
  4. Wait for your slides/poster to finish uploading into the system
  5. Submit the form by selecting the Submit button at the bottom of the screen
  6. A confirmation message will be presented upon successful submission and a confirmation will be emailed to you
    1. Be sure to retain this confirmation email.

Uploading your Final Content (Deadline: February 9, 2021)

  1. A Submission Webform URL will be emailed directly to the speaker on January 25th.  
  2. Confirm/Select the Speaker 
  3. Fill out your Speaker Information
    1. Upload a Speaker headshot photo
    2. Include a Speaker Biography in the available text field
  4. Upload your Presentation Data
    1. Video in MP4 format (max of 250MB is allowed)
    2. Final PDF Poster/PowerPoint 
  5. Wait for your video to finish uploading into the system
  6. Submit the form by selecting the Submit button at the bottom of the screen
  7. A confirmation message will be presented upon successful submission and a confirmation will be emailed to you

**Please note that updates to your presentation content will not be accepted after February 9th.
